As we transition to our new student information system, Jenzabar One (J1), I want to express my sincere appreciation for your patience, flexibility, and hard work throughout this process. This transition represents an exciting step forward for Newman, bringing modernized tools that will streamline our work, improve access to information, and enhance the experience for both students and employees. We know that learning a new system takes time, and we appreciate the effort everyone is putting in as we move through the early stages of this transition.

Several training opportunities are planned for December to support you in becoming familiar with J1 and its related systems. Additional sessions will be offered in the coming weeks, and details will be shared as they are confirmed. Thanks, Valerie


Teaching & Advising

Dec. 1
11:00 a.m.–12:00 p.m. – Coaches/Athletics Department

  • Location: Child’s Conference Room
  • Focus: J1 processes relevant to athletic advising and rosters

2:00–4:00 p.m. – Fall 2025 Grade Submission: All Faculty/Instructors

  • Location: Teams meeting (link sent separately by Valerie Hennings)
  • Focus: Entering grades into J1 and Q&A related to grade submission
    • A brief 10-minute overview will be provided at 2:00 p.m. and 3:00 p.m., followed by open Q&A.
    • This is a come-and-go session; please join as needed.

  • Focus: J1 processes relevant to grading, advisee rosters, class rosters, and Spring 2026 registration

Requisitions & Invoice Submissions

  • Purpose: How to submit and approve requisitions and invoices through our Jenzabar portal (My.NewmanU.edu)
    • Attendance at one session is required before user access can be granted

Campus Financials

  • Purpose: Training on the new Transact system, which integrates with J1 for payment and cashiering operations

At the end of the day today, Friday, October 3, we will begin the “go-dark” period of our transition to a new student information system (SIS), Jenzabar One (J1).  Thank you again for all the work you have done thus far to ensure that this transition is successful. 

After 5 pm this afternoon, the following systems will no longer be available: Jet Stream, Empower, Great Plains, Pharos, and Kwik Tag. Please use the following forms moving forward:

Dear Students,

This fall, Newman University is moving to a new system called J1. This transition will improve how you access your student account information and make processes faster and more reliable.

Key dates:

  • October 3: Student accounts will enter a “go-dark” phase. This means that our normal processing will be down until we are up and live with J1.
  • During the transition period:
    • NU payment plans will continue as normal
    • Payments can still be made via NU Pay
    • No statement or balance will be updated until after J1 is live

What this means for you:

  • If you need an invoice for tuition reimbursement, contact us now. After October 3rd, we will not be able to process this until we go-live.
  • If you still owe for fall, please contact us so we can get you on a payment plan now.
  • Once J1 is live, you will need to log in and set up your spring payment plan. This will be required in order to clear your bill.
  • If you are enrolled in spring, your bill will be available later this fall once J1 is fully implemented.
  • If you haven’t enrolled in spring, contact your advisor today to get enrolled! The deadline is October 3rd!

Next Steps

Please watch for communications about when J1 is live. It will be critical that you attend one of our training sessions to learn about the new system. We’ll share training details soon.

Dear Colleagues,

As many of you know, Newman is moving to a new system this fall. J1 will bring faster, more reliable tools for financial processes, but during the transition, some of our normal operations will “go-dark.” Please review the following important dates and plan accordingly.

Important Dates

  • October 3 – Last day to submit and have approved invoices and expense reports in KwikTag. Anything submitted after 5 p.m. will be returned for processing once J1 is live.
  • October 6 & 7 – Final payment processing in the Finance Office, including AP checks, vendor payments, and student refunds.
  • October 8 – Final FY26 Solver budget reports will be emailed out. After this date, the Finance Office will be officially “dark.”

What does “dark” mean?

  • No AP checks or vendor payments can be issued.
  • No student refunds can be processed.
  • No budget or spending reports will be available.
  • No transactions can be processed in Empower, GP (Great Plains), or Solver.

We anticipate being live in J1 in November. But until then, AP will not be able to run, and normal finance functions will remain paused. Please be sure to plan ahead:

  • Submit invoices and expense reports now!
  • Finalize purchases and approvals before October 3 where possible.
  • Use Purchasing Cards for approved expenses during the transition (these will remain fully available).

An important student resource - JETSTREAM - is going away at the end of the day on Friday, Oct 3rd!

Newman will be transitioning to a new, improved and much friendlier student information platform - all your stuff in one place, accessible with one login! _(More news, including launch date, to come later in October) _
